The type of personal information we collect
We currently collect and process the following information:
- Personal identifiers, contacts and characteristics (for example, name and contact details).
- Messages submitted through the chat feature on our website, along with your IP address and the date and time of your conversation.
- Email addresses provided for the purpose of receiving service update notifications.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- To develop, maintain and fulfil a business relationship, including the provision of services to you.
In a very small number of cases, we also receive personal information indirectly, from the following sources in the following scenarios:
- Referrals and recommendations from existing clients and known business contacts.
We use the information that you have given us in order to maintain an up-to-date contact registry of clients and contacts.
We do not share information with any other organisations or individuals outside of our organisation unless expressly permitted by you and only for the purposes of one-to-one business introductions.
Under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, the lawful bases we rely on for processing this information are:
- Your consent. You are able to remove your consent at any time. You can do this by contacting hello@thiscompany.co.uk.
- We have a contractual obligation.

How we store your personal information
Your information is securely stored within the United Kingdom. We use strong passwords, encryption and access controls to maximise the protection of any data we hold.
We keep personal information, such as contact details and email history, for seven years. We will then dispose of your information by securely shredding printed documents and permanently deleting files from our computer storage and online storage, including from email and contacts systems.
Website chat feature
Our website includes a chat feature that allows visitors to ask questions and receive responses generated by artificial intelligence. When you use this feature, we collect and store the following information:
- The messages you submit and the responses generated.
- Your IP address.

Your messages are sent to Anthropic (anthropic.com), a third-party artificial intelligence provider, in order to generate responses. Anthropic processes this data in accordance with its own privacy policy. We do not send your IP address or any other personal identifiers to Anthropic.
IP addresses may be used to prevent abuse of the chat feature. Chat data is retained for one year and then permanently deleted.
Service update notifications
If you are an existing client, we may send you notifications when updates have been made to your website or other products we maintain on your behalf. To do this, we store your email address in a secure database on our UK-based servers. These notifications are not marketing communications and are sent solely to inform you of changes to services we provide to you.
You may unsubscribe from these notifications at any time by contacting us at hello@thiscompany.co.uk.
